Microsoft has recently implemented new storage limitations that will require you to better manage your data in CGU-provided Microsoft services. If you ever reach the maximum limit on any of the services below, that service will stop working. Thus, here’s a quick reminder on where to store files, how to manage email, and how to check your personal storage usage.
Storage Caps
Individual storage caps for OneDrive and email are limited to 100GB per user. However, Teams is not tied to these individual caps. Instead, file storage in Teams contributes to CGU's total pooled storage, not your individual limit.
Where to Store Your Files
- OneDrive –personal work files: drafts, notes, and documents you’re editing individually (smaller files).
- Teams – department/project collaboration or Large data: files multiple people need to access or update and large data sets.
Email Storage Tips
- Delete outdated or unnecessary messages (especially those with attachments).
- Save important attachments to OneDrive or Teams.
- Empty your Deleted Items and Junk folders regularly.
How to Check Your Storage Usage
OneDrive Storage
- Sign in at Onedrive.com.
- Click the Gear Icon in the upper right > OneDrive Settings > More settings > Storage Metrics.
Exchange (Email) Storage
- Open Outlook on the web Outlook.office.com or your Outlook app.
- Click the Gear Icon in the upper right corner > Accounts > Storage
